Schoolyear cares about your privacy, therefore we minimize the collection of personal data and use only what is essential to secure the exam on your laptop. Since Schoolyear is only used at the location of your institution, we don't process any audio, screen or webcam recordings.

What is personal information?
Personal data only includes information relating to natural persons who can be identified or who are identifiable, directly from the information in question, or who can be indirectly identified from that information in combination with other information.

Which technical data will be processed by Schoolyear?
Schoolyear processes technical data during the test to check whether the Schoolyear application is functioning properly and to detect possible fraud. In addition, we use technical data to warn you in case of technical problems like network connection, battery level. Please find below which technical information will be processed during the test:
- Operating system;
- Browser type;
- Running applications during the exam:
- Using suspicious keyboard shortcuts;
- Battery level;
- Wifi connection;
- IP address of the location where you take the test;
How do we use the data we collect?
Your personal data will solely be used for the following purposes:
- Identification: On your screen in the Schoolyear test environment, your name and student number are visible. The proctor will check your details and compare it with your ID card. You will be requested to display your ID card on the corner of your table during the exam.
- Fraud control and compliance: During the test, Schoolyear will check if the application is functioning properly to prevent cheating and if you act conform the regulations as described in the guidelines of your educational institution.
Will my webcam be turned on during an exam?
No. At no point in time will your webcam be turned on or used during an exam.
Will my microphone be turned on during an exam?
No. Your microphone will not be turned on or used during an exam.
Will my screen be recorded during the exam?
No. Schoolyear does not record your screen and the answers you fill in during the exam will never end up with Schoolyear.
What if the exam has ended?
After you have handed in the exam and exited Schoolyear, the application will be fully deactivated until you start the next exam. You can always uninstall and delete the Schoolyear from your computer. Please make sure you take enough time at the beginning of next exam to download and install Schoolyear again.
Who is responsible for the processing of my personal data?
Your institution is responsible for processing your personal data, they will have the legal obligation to make sure that your personal data will be processed in accordance to the applicable privacy laws, among which the "General Data Protection Regulation (GDPR)".
Who has access to my personal data?
Your personal data of the exam will solely be visible to people with the authority granted by your institution. These people have a designated role for proctoring the exam and will only have access when this is necessary.
Will my personal data be shared with third parties?
Your institution has, together with Schoolyear, agreed to a processor agreement in order to guarantee that your personal data will processed with care, security and according to the AVG. In here, it is also agreed upon that the supplier and his subcontractors may never use the personal data for their own needs and may solely use it according to the instruction of the educational institution.
In principle, your personal data will not be shared with third parties, on the exception that the educational institution is required to by law or court order.
Will my personal data be passed on to countries outside of the European Union?
No, all personal data that Schoolyear processes stays within the European Union.
How long will my personal data be stored?
Your personal data is stored no longer than necessary in light of the reason(s) for which it was collected. Please contact the privacy officer of your institution for more information.
How is my personal data secured?
Schoolyear takes appropriate security measures when sending and storing your data in order to protect your personal data from loss and any form of unlawful processing. Besides this, Schoolyear is yearly screened and has signed a processing agreement with your institution to guarantee your privacy.
How can I exercise my data privacy rights?
Based on the GDPR, you have, under certain conditions, the right to see the your personal data that is processed, the right to correct your personal data if it is false, the right to delete your personal data, the right to limit the processing of your personal data and the right to object the processing of your personal data.
